This Privacy Policy describes how Persons Industries LLC ("the Company", "We", "Us") collects, uses, and discloses information through Workforce Management (the "Service").
Workforce Management is a business tool: most of the people whose data we process — employees clocking in on a kiosk — are not the ones who signed up for the Service. Their employer ("Customer") is. This policy explains our handling of data for both audiences.
Who this applies to
- Business admins — the people at a Customer business who log into the admin dashboard.
- Employees — the people a Customer business adds, who clock in and out on the kiosk using a PIN.
If you are an employee with questions about how your time, pay, or location data is used, your employer controls that data and is the right first point of contact — we process it on their behalf.
Information We Collect
From business admins
- Username and password (stored as a one-way hash, never in plain text)
- Business name and any customers, tasks, and tags they set up
From employees (via the kiosk)
- Name and a PIN (stored as a one-way hash, never in plain text)
- Clock-in and clock-out timestamps, and the customer/task selected, if any
- Hourly pay rate, overtime threshold, and any clock-in time window set by their employer
- The IP address, and the approximate location where permitted and enabled by the employer, of the device used to clock in or out — so a business can see whether a punch happened on-site or remotely.
Usage data
Like most web services, we automatically log basic technical data (browser type, pages visited, timestamps) to operate and secure the Service.
How We Use Information
- To provide the Service: authenticating logins, recording clock-ins/outs, and calculating hours, overtime, and pay.
- To generate the reports, analytics, and payroll exports a Customer requests.
- To maintain the security and integrity of the Service, including detecting misuse.
- To communicate with business admins about their account or support requests.
We do not sell personal information, and we do not use employee time or pay data for advertising.
Cookies
We use a session cookie to keep business admins logged in. This cookie is required for the admin dashboard to function and is not used for advertising or cross-site tracking.
Who We Share Information With
- Within a Customer's own account: a Customer's admins can see the time, task, and pay data of their own employees. We do not share one Customer's data with another.
- Service providers: infrastructure providers (such as hosting and database providers) who process data on our behalf under contract, strictly to operate the Service.
- Legal requirements: if required by law, court order, or to protect the rights, safety, or property of the Company or others.
- Business transfers: if the Company is involved in a merger, acquisition, or asset sale, data may transfer as part of that transaction, subject to this policy.
Data Retention
We retain time, task, and pay data for as long as a Customer's account is active, plus any additional period needed to comply with record-keeping obligations under applicable wage-and-hour law. A Customer can request deletion of their account and associated data, subject to those legal retention requirements.
Security
We use industry-standard measures (including password/PIN hashing and access controls) to protect data, but no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Children's Privacy
The Service is not directed to children under 13, and business admin accounts may not be created by anyone under 13. Some employees using the kiosk may be minors employed by a Customer business in accordance with applicable labor law — in that case, the Customer, as the employer, is responsible for that employee's data on the Service.
Your Rights (GDPR)
If you are located in the European Economic Area, you have the right to access, correct, delete, or receive a copy of personal data we hold, and to object to or restrict certain processing, subject to the limits described above for employee data controlled by a Customer. Your Rights (CCPA)
If you are a California resident, you have the right to know what personal information we collect, to request its deletion, and to not be discriminated against for exercising these rights. We do not sell personal information.
Changes to this Policy
We may update this Privacy Policy from time to time. We will post the updated policy here and update the "Last updated" date; material changes will be communicated with reasonable notice.
